1. Role Purpose:
- Supports the Education team in the implementation of programmes and projects in compliance with British Council policies and procedures including financial admin, reporting and data collection, operational project delivery and managing relations with delivery partners.
- Education programmes include, but not limited to, the Going Global Partnerships; the International Student Mobility (ISM); Alumni UK and Non-Formal Education.
2. Role Context:
- This role sits within the Cultural Engagement (CE) Strategic Business Unit (SBU). CE brings together our portfolio of work in arts, education, English, and research. Our portfolio is delivered through a set of globally led programmes that locates our work and impact within our strategic framework. These programmes deliver our key performance indicators and impact ambitions.
- All programme management roles deliver activities and projects within this global programme and strategic framework. Our programmes are funded by the British Council’s grant in aid, through partnerships and external clients
3. Main accountabilities:
Managing self and others
- Hold vendors and suppliers to account for delivering services.
- Have the ability to work independently and manage workload against project deadlines.
Financial Support
- Plan and report on project financial plans and budget expenditure and forecasting to Programme Managers and Head of Programme Delivery
- Maintain clear and up-to-date records on all financial transactions as per audit requirements.
- Ensure relationships with vendors are maintained and payments are processed on time and in accordance with FABS on-line system (SAP Finance) guidelines.
- Ensure compliance to British Council financial policies and procedures.
Project Management
- Be responsible for data management including timely data entry, quality assurance of data, undertaking basic analysis of monitoring data, and developing progress reports to meet needs of funders.
- Support internal compliance such as due diligence, records management, data collection and storage.
- Manage grants administration to all activities under Education programmes, selection and evaluation, and procurement processes.
- Manage events-based components and trainings within a programme.
- Manage the REF template for reporting purposes
- Support communications by ensuring updated websites and databases
- Support the project / programme manager in implementing safeguarding and diversity mainstreaming action plans and contributes to it.
Relationship and Stakeholder Management
- Manage relationships with clients/partners/stakeholders at appropriate level and timely communicating with relevant stakeholders.
- Manage relationship with vendors and suppliers and holds them to account for delivering services.
4. Role specific knowledge and experience:
Minimum / Essential Requirements
- Undergraduate degree
- Experience of working in a supporting role on programmes or projects.
- Administrative and financial administration experience.
- Good understanding of basic concepts of monitoring and evaluation, and how they are central to good project management.
Language Requirements
- The British Council systems and global processes operate in English. Written and verbal proficiency in English is required.
