1. Nature of the internship:
Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN agency in the field of migration, works closely with governmental, intergovernmental and nongovernmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments, the private sector, and migrants. In Viet Nam, IOM collaborates with a wide range of stakeholders and partners, including governmental and nongovernmental agencies, mass organizations, civil society, research institutes as well as the private sector, to promote safe and orderly migration.
We are looking for a proactive and detail-oriented individual to join our Human Resources Unit for a 3-months internship. This role offers an opportunity to gain hands-on experience in Human Resources operations and exposure to project-related information. As a support team, Human Resources Unit works closely with various teams, enabling interns to better understand overall organizational operations.

1. Tasks to be performed under this internship:
Support Employee Records Digitalization Process
- Carry out the digitalization of all employee records in SharePoint in accordance with established guidelines and instructions, ensuring accuracy and completeness of data.
- Maintain and regularly update employee profiles in both soft and hard copy formats on a monthly basis, ensuring that all records are well-integrated, systematically organized.
- Manage and maintain proper filing of consultant documentation and contracts, ensuring all records are up to date, accessible, and securely stored.
- Develop, implement, and continuously improve an effective filing and documentation system for all HR-related records.
Support Recruitment Process
- Provide support throughout the recruitment and selection process, including but not limited to preparing and posting job advertisements and contacting potential candidates, and coordinating recruitment tests and interviews.
- Assist in interview processes when required and ensure smooth communication between candidates and hiring managers.
- Organize and manage logistics arrangements related to recruitment activities, ensuring timely and efficient execution of all recruitment stages.
Support Onboarding and Staff Exit Procedure Execution
- Ensure that all onboarding materials and kits, including staff identification cards are fully prepared and available prior to each new employee’s start date.
- Provide guidance and support to employees during the exit process, including assisting in the completion of Exit Clearance Forms.
Support Administrative Work and Other Duties
- Support with translation, interpretation, and document typing tasks when required, contributing to smooth communication and documentation across teams.
- Other duties as assigned.
2. Eligibility
- The internship opportunity is open to Vietnamese national only. Candidates must be between 20 and 36 years old at the time of application and meet one of the following requirements:
- Be enrolled in the final academic year of a first university degree programme (minimum bachelor’s level or equivalent); or
- Have graduated with a university degree and, if selected, must commence the internship within one year of graduation.
3. Required Qualifications and Experience
Qualifications: Meet the above eligibility with a specialization in Human Resources, Business Administration, Psychology or related field.
Required Skills:
- Strong attention to detail and a high level of confidentiality.
- Ability to manage documents and HR records efficiently.
- Good time management and ability to handle multiple tasks.
- Familiar with Microsoft Office (Word, Excel, PowerPoint).
Preferred Skills:
- Familiarity or experience in administration and human resources
- Ability to work independently and adapt to a fast-paced, multicultural e
- Languages: Fluency in English and Vietnamese both oral and written is required.
4. Benefits:
- Successful interns may be offered a contract for up to 3 months.
- Interns are covered against occupational accidents and illnesses under the CP insurance.
- Interns are granted a stipend referred to as a Monthly Subsistence Allowance (MSA) as partial contribution towards accommodation and living expenses. No other remuneration is granted for internships. Interns benefiting from any internship allowance, financial remuneration or scholarship granted by their university or other sponsoring body will not be eligible for MSA.
